Terms and Conditions

By engaging with The COO Hub, you agree to the following terms. We like to keep things simple and transparent—just how business should be.




1. Our Agreement


When you work with The COO Hub, we’ll provide services as outlined in your agreed proposal, package or service description.




2. Payment Terms


All services must be paid in advance unless we’ve agreed otherwise in writing.Project and strategy sessions are invoiced upfront. Ongoing retainers are billed monthly on the same date each month. Payment is due within 7 days. If things are tight, talk to us early, we’re human.




3. Cancellations + Rescheduling


We ask for at least 48 hours’ notice to reschedule sessions. Missed or cancelled sessions with less than 48 hours’ notice may be forfeited or charged at full rate. For monthly packages, we require 30 days’ notice to pause or cancel.




4. What’s Included (and What’s Not)


You’ll receive the services, sessions and deliverables outlined in your selected package or proposal. Anything extra (like software charges/subscriptions, additional tools, staff training, or bonus hours) will be quoted separately if needed. We don’t do midnight emails, weekend emergencies, or last-minute miracles, but we’ll always keep things moving smoothly and on time.




5. Communication


Our core communication is via email.
Phone calls are a premium service, bookable in advance.
We use WhatsApp for active ongoing clients only.
This keeps things on track and ensures paying clients get what they’ve paid for, no missed details, no endless phone tag.
We’ll reply to emails within 1–2 business days (unless it’s marked urgent).
We don’t work public holidays or weekends, unless pre-booked and agreed in writing.




6. Confidentiality


We treat your business info like Vegas, what’s shared with us stays with us. We’ll never share confidential details without your permission.




7. Intellectual Property


Any tools, templates, systems or documents we create for your business are yours to use internally. Our frameworks and methods remain ours. You can’t resell, license or distribute them without written approval.




8. Client Responsibilities


To get the best outcomes, we need your input. That means:


- Attending sessions on time.

- Completing pre-work (if any).

- Actioning what we agree on between sessionsBeing honest about where you're stuck




9. Results Disclaimer


We’ll bring clarity, structure and strategy. But results depend on your implementation and decisions. We’re here to guide and support, but we can’t do the doing unless that’s part of the service.

We’re not a help desk for every glitch with your software or apps, even if we have helped implement a new software/app for you. If you need us to jump in and troubleshoot, just ask, we’ll provide a quote.




10. Changes to Terms


These terms may be updated from time to time. We’ll let you know if there’s anything important that changes.
